Logistics Import Export Coordinator

1. PURPOSE

To establish the standard procedures and guidelines to handling and monitoring inbound/outbound shipments to serve production smoothly and maintain customer’ satisfaction

2. SCOPE

This job description is applied to all of processes of logistics scopes, from receiving, handling, proceeding inbound documents until FG/sample have been delivered to clients and payments settled to service suppliers.

3. JOB DESCRIPTION

- Coordinate and manage all regional import & export process for material & finish goods & Non-commercial cargo.

- Ensure and manage efficient handling of customs procedures such as customs declaration, liquidation, customs report.

- Coordinate with Customers/Vendors/Suppliers to prepare shipping documents and closely follow up to ensure the delivery without issues or additional costs.

- Work with Agencies, Shipping Lines to get better quotation and conditions.

- Book Air/vessel schedule to ship finished products.

- Track with suppliers, forwarders to know the ETD and ETA of the shipments.

- Check & cfm Bill/ Prepare Invoice, Packing list.

- Follow up with Forwarder to get the Arrival Note.

- Track with Shipping service to resolve any issues.

- Do payment request, get approval and submit to payment

- Ensure the compliance with import - export regulations.

- Check freight rate by sea, by air according to the requirements of each order (if any)

- Manage full set of import -export documents for custom clearance, inspection and quarantine and the company.

- Prepare all documents for customs declaration, price consultation, post-clearance audit.

- Track and trace shipments status, update shipping status and alert relevant departments when ETA are delayed than expected.

- Maintain import - export documents according to regulations, adapt to the requirements of internal, audit and customs department.

- Book vessel and tracking booking confirmation.

- Prepare Shipping documents inbound and outbound.

- Tracking the Import Declaration on time.

- Booking truck to deliver the goods as request.

- Summarize arising cost to suppliers.

- Check red invoices, summary of costs and arrange payments to Forwarders, Shipping lines (if any).

- Solid knowledge of trade law Import/Export policies.

- Minimum 2 years of logistics working experience in Global Manufacturing Companies, including experience in Import/export field and others related to supply chain activities.

- Bachelor degree required.

- Maintain a close working relationship with all interface partners including external and internal.

- Provided other internal and external skill courses, if needed.
